About You: 

You are experienced in drafting, creating & reviewing estate plans (wills, trusts, health care proxies, powers of attorney, etc.). You are comfortable preparing the necessary documents to fund trusts and align client’s assets with their estate plan. You have experience with more advanced tax planning (SLAT’s, ILIT’s IDGTs, GRATs, etc.) and advising on lifetime gifting and charitable giving strategies. You are comfortable meeting with clients to build lasting relationships. You are eager to join a team environment where client service is of the utmost importance, and you look forward to not only creating estate plans but helping clients with their ongoing plan maintenance You are meticulous and love to draft and review documents to make sure the client’s goals are achieved. This is a role that will support Attorney Anna E. Byrne and you will work as a team.

You MUST be licensed to practice law in the Commonwealth of Massachusetts.

Primary Job Duties Include (at minimum): 

  • Conduct client meetings to design and deliver estate plans
  • Maintain detailed notes of all meetings, phone calls & follow ups
  • Draft & Review estate planning documents for clients (RLT, Will, HIPAA, HCP, POA, Living Will, ILIT, Irrevocable Trusts, etc.)
  • Prepare trust funding recommendations & documents as needed
  • Manage client maintenance plans (AMP) and meetings
  • Manage client phone calls and/or e-mails
  • Work with estate planning team to maintain and meet client deadlines
  • Manage other projects as assigned

Requirements:

  • MA licensed attorney and in good standing with the Massachusetts Bar
  • Minimum of 3-years legal experience in estate planning with proficiency in drafting documents
  • Knowledge of income, fiduciary, gift, and estate tax laws
  • Licensed Notary Public in Massachusetts
  • Are well-organized & detail orientated
  • Possess excellent follow through skills to meet deadlines
  • Interested to work in an environment that does not require billable hours
  • Are willing to be coached on our unique client process
  • Have an appreciation of the value and peace of mind you deliver to your clients

Must be willing to complete a short work-preferences questionnaire (Results are shared with you).

This is a part-time position available immediately. We are open to someone who wants to work a reduced-hour or flexible schedule while still meeting the requirements of the position. ~24 hours/hybrid schedule (in office for scheduled client meetings/remote otherwise). Compensation is based on experience.

Our ideal candidate has 2-4 years’ experience working in a professional service environment – law office, financial planning, insurance services, or financial institution, and enjoys working in a fast-paced office and communicating with our clients.

Duties include but are not limited to:

  • Data entry of client information into our systems
  • Printing and preparing documents for signature
  • Prepares and sends certified mailings for probate matters
  • Prepares and tracks all FEDEX shipments for the Estate Administration department
  • Maintaining office records and client files
  • Assisting with client billing and generating invoices
  • Processing, sorting, and compiling ingoing & outgoing mail
  • Receiving mail, scanning, saving to server and alert team as to items received
  • Setting up meetings via Zoom including sending links to all parties
  • Communicating with clients requesting replenishment of retainers
  • Providing information sheets to potential clients and collect forms and other relevant documents prior to intake meeting
  • Ensure attorney has all documents necessary to complete initial client meetings
  • Pre-screens all estate administration telephone calls and intake emails from website
  • Assist with preparation of Notices to Interested parties for probate petitions
  • Assists with Estate Tax Returns, entering client data into our software
  • Assists Attorney with Trustee services support

Qualifications:

  • 2-4 years’ administrative experience
  • Associate’s or bachelor’s degree
  • Strong written and verbal communication skills
  • Excellent listening skills
  • Extreme attention to detail
  • Ability to multitask and work on short-term and long-term projects simultaneously
  • Mac user is a MUST
  • Proficient in Microsoft Office (Word, Excel, Outlook), Adobe Acrobat
  • Willing to become a notary
